TTM Healthcare are proud to partner with our client in the Public Sector to recruit a Temporary Grade V Staff Officer in the Southeast.

The locations of the vacancies are as follows:

South Tipperary

Waterford

Wexford

Carlow

Kilkenny

Rates from €26.33 – €31.52 per hour depending on relevant public sector experience. 

Monday to Friday 9am to 5pm.

35 hour working week.


The Grade V Staff Officer will provide support to the administration team and the service manager.

Effective functioning of the office:

  • Complete tasks/actions identified by the team.
  • Supporting/managing administration teams in preparing for organisations monthly meetings, this includes scheduling, attending and following up as appropriate.
  • Supporting/managing administration team monthly Referrals Forum, this includes scheduling, preparing and following up as appropriate.
  • Supporting communications/referrals meetings with other care groups in the organisation. This includes preparation and follow up meetings if and as required.
  • Supporting/managing the administration teams for Operational Meetings. This includes preparation and follow up work as required.
  • Attending the monthly L/W meetings.
  • Supporting risk assessment completion in line with policy
  • Gathering, recording and returning the relevant metrics and performance related activities as appropriate.
  • Prepare HR forms and paybill forms for staffing in the department and maintaining records of same.
  • Supporting recruitment, completion of Paybill Forms and agency recruitment as relevant.
  • HR/Outsourcing with agencies/private practitioners in line with National Financial Regulations.
  • Supporting the processing of team Time Returns as appropriate
  • Supporting the management of attendances to the network teams
  • Complete the administrative tasks involved with the provision of services to users on each team.
  • Demonstrate pro-active commitment and response to all correspondence with internal and external stakeholders.
  • Oversee meetings and communications and ensure a tight process is in place with regard to follow up and logging of actions including supporting the Network Managers in respect of Progressing Disability Services.
  • Supporting Assessment of Need process.
  • Supporting administration team members on workloads and capacity.
  • Supporting Health and Safety in line with Safety Files.
  • Dealing with Freedom of Information (FOI) queries.
  • Dealing with Data Protection queries.
  • Work collaboratively and professionally with wider stakeholders within the wider organisation to ensure timelines are met.
  • Ensuring the discharge by the office and all regulatory responsibilities relevant to the Team and the staff.
  • Prepare Complaint responses in line with the organisations complaint process and response timelines.
  • Maintain own knowledge of relevant regulations and legislation e.g., National Financial Regulations, Health & Safety Legislation, Employment Legislation, Freedom of Information Act, GDPR.
  • Maintain own knowledge of relevant acts and legislation e.g., Health Act 2007, Assisted Decision Making Capacity Act 2015, Disability Act 2005, Transforming lives programme 2016, National Housing strategy for people with a disability 2011, Comprehensive Employment Strategy for people with a Disability 2015.

Participating in other duties that may be assigned due to developing departmental requirements.

Professional Qualifications, Experience, etc


Eligible applicants will be those who on the closing date for the competition:


Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act 2004.


Or


Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction


Or


Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland, (QQI). Note1: Candidates must achieve a pass in Ordinary or Higher level papers. A pass in a foundation level paper is not acceptable. Candidates must have achieved these grades on the Leaving Certificate Established programme or the Leaving Certificate Vocational programme. The Leaving Certification Applied Programme does not fulfil the eligibility criteria.

Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.
