Position: Grade IV Clerical Officer
Hours: Full time, Mon–Fri, 9–5 (35 hours a week) Hybrid Model available
Pay: €19.97 – €30.67 per hour depending on previous relevant public sector experience
Contract: 6 month Initial

Job Purpose

The Grade IV Clerical Officer will provide comprehensive administrative support as the sole administrator within the service. This role is responsible for the day-to-day management of office operations, financial administration, procurement, and governance, while supporting the implementation of organisational policies and procedures. The successful candidate will be highly organised, proactive, and confident working independently in a fast-paced environment.

Key Responsibilities

  • Manage all day-to-day office operations as the sole administrative support within the service.
  • Take full responsibility for petty cash reconciliation, invoice processing, and the accurate tracking and submission of staff time returns.
  • Oversee local purchasing and procurement, ensuring compliance with organisational governance, policies, and procedures.
  • Work closely with the management team to support the implementation of new policies, procedures, and operational improvements.
  • Promote and reinforce adherence to organisational policies, using a professional and diplomatic approach to support positive cultural change.
  • Build strong working relationships across the wider organisation to seek support, share resources, and ensure consistency of practice.
  • Upload referrals, maintain accurate records, and manage documentation in an organised, secure, and confidential manner.
  • Prepare correspondence, reports, and office documentation, including accurate minute-taking for meetings.
  • Support the implementation and continuous improvement of administrative procedures and processes.
  • Maintain strict confidentiality when handling sensitive service-user and organisational information.
  • Work collaboratively with the wider service team, providing administrative support and cover as required.

Essential Criteria

The successful candidate will demonstrate:

  • Previous administrative experience within a busy, standalone, or fast-paced office environment.
  • Demonstrable experience supporting organisational change, implementing new processes, or promoting compliance with policies and procedures.
  • Practical experience with invoicing, petty cash management, light bookkeeping, or financial administration.
  • Strong IT skills, including proficiency in the Microsoft Office Suite, with advanced Microsoft Excel skills.
  • Excellent verbal and written communication skills, including proven experience taking accurate meeting minutes.
  • Strong interpersonal skills with the ability to communicate professionally, influence stakeholders, and build effective working relationships.
  • A resilient and diplomatic approach, with the ability to maintain professionalism while supporting organisational change.
  • Excellent organisational skills with the ability to prioritise competing workloads, meet deadlines, and work independently with minimal supervision.
