Job Description:

Responsibilities:
– Perform a variety of administrative and clerical tasks to support the efficient operation of the office.
– Utilize MS Office suite (Word, Excel, PowerPoint, SharePoint, Teams and Outlook) for document preparation, data analysis, and presentations.
– Manage and maintain accurate data records, ensuring data integrity and compliance with organizational standards.
– Take detailed and accurate minutes during meetings, distribute minutes to relevant parties, and follow up on action items.
– Ensure all tasks and projects are completed within set deadlines.
– Maintain a high level of confidentiality and ensure compliance with GDPR regulations in handling personal and sensitive information.
– Manage diaries, schedule appointments, and coordinate meetings for senior staff.
– Handle incoming and outgoing correspondence, including emails and phone calls, in a professional and timely manner.
– Assist with the preparation of reports, presentations, and other documentation as required.
– Provide general administrative support to the team and other departments as needed.

Requirements:
– Proven experience as a Clerical Officer or in a similar administrative role.
– Proficiency in MS Office suite (Word, Excel, SharePoint, Teams, PowerPoint, Outlook).
– Strong data management skills with attention to detail and accuracy.
– Excellent minute-taking skills with the ability to capture and transcribe discussions accurately.
– Ability to prioritize tasks and work under tight deadlines.
– Knowledge of GDPR regulations and experience in handling sensitive information.
– Exceptional organizational and diary management skills.
– Strong communication skills, both written and verbal.
– Ability to work independently and as part of a team.
– High level of professionalism and discretion.
– Must be flexible with hours.
– Must be able to type at a speed of 50wpm

Qualifications:
– A relevant qualification in administration, business, or a related field is preferred.
– Previous experience in a similar role, ideally within a public sector or corporate environment.
